YVOD has developed a very easy method to keep track of your inventory. We have created a way for you to simply upload a regular Excel spreadsheet (click to download a copy) to instantly organize your data. Below is a short description of the columns in this spreadsheet.
Catalog #
This is the key to your inventory. Every single item for sale must have a unique catalog number. Often referred to as the SKU or Barcode, this number identifies your item. If you wish to group multiple items together into “sets”, these “sets” must each have a unique number.
Catalog # are case sensitive and can use A-z, 0-9, – and _. They can not contain special characters like !, $, ” or ‘.
Option 1
Options 1 and 2 were developed for our clothing clients to cut down on the complexity of their spreadsheets. For example, one of the items for sale is a Grass Butterfly Twirly Dress. This comes in two colors, Pink and Lavender and 6 sizes (3T,4,5,6,7,8). Each option must have a unique Catalog #.
Setting Option 1 to be the Color and Option 2 to be the Size, allows the clothier to specify all variations in a single line.
Option 2
Options 1 and 2 can be used in a variety of way to simplify the spreadsheet. Please consult with us for the best use of these options.
Short Description
The short description is the information displayed in areas where a small amount of text is appropriate. For example, the short description is displayed in the shopping cart so customers know what they are purchasing.
The short description must be less than 250 characters and would, ideally, be less than 40. Avoid special characters like !, $, ” or ‘.
Long Description
The long description is where you get to really express yourself. Tell visitors what makes this product so special. Get fancy with HTML. Give customers as much information as you think is appropriate.
Try to keep your text to under 3,000 characters. If you need more space than that, please consult with us first.
Price
This is the Price you are going to sell the item for. This is the amount people must pay to purchase your item.
List Price
Manufacturers Suggested Retail Price (MSRP). This price must be greater than or equal to the “Price”.
Cost
This is your cost of the item. We have this in here for accounting purposes only. Visitors to your website will never see this number. However, the more accurate you make this, the better information you will have on your final profit.
On Hand
This is the total number of items you have in stock. If desired, we can tie your website to this number and, for example, not allow additional sales when you have no more of an item in stock. Again, the more accurate you make this number the better data you can get from our system.
Many clients choose not to tie their website to the “on-hand” and set this column to 1,000
Thumbnail Image
The thumbnail image is the small picture representation of the product. Generally, this image has no side larger than 100 pixels. Multiple items can share a single thumbnail image. The location of the image must be specified in this column.
Large Image
The location of the large image of the item must be specified in the column.
Tax Rate
If the item is non-taxable, place a 0 in this column. Tax is calculated on a per item basis. 8.25% rate would be represented by 8.25 in this column.
